How Donova collects, uses and protects information.

Donova is a DEVECTUS product. This policy explains how personal information, call data and service information may be handled when you use Donova websites, dashboards, AI phone assistant workflows and related DEVECTUS services.

1. What we collect

We may collect personal information and business information when you interact with Donova or DEVECTUS. This may include names, email addresses, phone numbers, business details, billing information, support requests, website and dashboard usage data, call recordings, call transcripts, call summaries, caller intent, sentiment indicators and configuration details needed to operate the AI receptionist.

Product context

Donova may process caller information so it can answer calls, capture enquiries, create summaries, route urgent matters and support follow-up workflows configured by the customer.

2. How we collect

Information may be collected directly through forms, onboarding, support channels, phone calls, dashboards, proposals and correspondence; automatically through cookies, analytics, logs and telemetry; and from authorised third parties such as payment processors, identity providers, integration partners or your representatives.

3. Why we use it

We use information to provide, configure, operate, secure and improve Donova and related DEVECTUS services; manage accounts and billing; authenticate users; support integrations; communicate service notices; respond to enquiries; meet legal obligations; and handle disputes or complaints.

4. Disclosure

We may disclose information to service providers, hosting providers, payment processors, analytics platforms, communication providers, professional advisers, regulators where required, and authorised customer systems such as CRMs, calendars or workflow tools configured for your account.

5. Overseas disclosure

Some providers may be located outside Australia, including in the United States, the European Union or other jurisdictions. Where information is transferred overseas, we take reasonable steps such as contractual safeguards, access controls and encryption to protect it.

6. Storage and security

We use reasonable technical and organisational controls to protect information, including restricted access, encryption in transit and at rest where appropriate, secure hosting practices and operational controls. No system can be guaranteed completely secure.

7. Access and correction

You may request access to, or correction of, personal information we hold about you by contacting privacy@devectus.com.au. We may need to verify your identity before responding.

8. Retention and deletion

We keep information only for as long as reasonably needed for the purpose collected, unless a longer period is required by law, contract or legitimate operational need. Call recordings and transcripts for Donova or similar services may be retained for a limited operational period, commonly up to 90 days unless a different arrangement applies. Financial records may be retained for seven years to meet regulatory obligations.

When information is no longer required, we take reasonable steps to delete, destroy or de-identify it.

9. AI and transcript accuracy

Machine-generated outputs such as call transcripts, summaries, sentiment labels and AI responses may contain errors. They are provided to support business workflows and should not be treated as definitive records, legal advice, medical advice, financial advice or other professional advice.

10. Direct marketing

Where permitted or where you have consented, we may send information about Donova, DEVECTUS products, updates, events or related services. You can opt out using unsubscribe links or by contacting us.

11. Cookies and analytics

Donova and DEVECTUS websites and platforms may use cookies and similar technologies to recognise browsers, improve performance, understand usage and support analytics. Blocking cookies may affect site or dashboard functionality.

12. Changes

We may update this policy to reflect changes in law, technology or operations. Updated versions will be published on this page and apply from the time they are posted.
